[VAcourier] Membership Renewal System (MRS) October 31 deadline fast approaching

This is the final reminder that *ALL* Virginia Division dues must be 
postmarked no later than October 31 which is the end of the billing 
cycle for this term. Any submissions received with a postmark after 
October 31 will be returned to the sender for an additional $5.00 
reinstatement fee per person and a reinstatement form that must 
accompany the late submissions.

Virginia Division Reinstatement Forms can be downloaded from the 
Virginia Division Web site located at http://www.scvva.org. Click on the 
JOIN SCV button in the left column and locate the Reinstatement Form, 
print out one for each late member, and submit the forms along with 
Division dues to include an extra $5.00 reinstatement fee per member to:

At this time, all camp adjutants are encouraged to send in (by October 
31) all of the original billing invoices, $10.00 per renewing member, 
plus any additional contributions that your camp members made to the 
various Division Fund Raiser projects, to ensure that your camp members 
receive proper credit for their renewals. There are going to be members 
in many camps that procrastinate until the last minute but after 3 
months of collecting dues, the camp adjutants have done their best and 
anyone who is late in renewing will be charged the $5.00 reinstatement, 
through no fault of the camp adjutants.

Also as a reminder, camp adjutants are to send all National dues 
directly to National Headquarters and the member will also incur a $5.00 
reinstatement fee at National HQ after October 31.

I would like to thank the various camps who have already submitted their 
Division dues and a special thanks go to Virginia Division SCV members 
who have been so generous in participating in the various fund raisers 
listed on your billing statements. We are moving forward with Oakwood 
and are currently waiting for the first set of 10 stones to arrive so we 
can make plans to install them. We expect to order 75 stones in the next 
group to be installed. Watch for updates on the Virginia Division Web 
site. Each one of the optional contribution categories are important and 
we appreciate all of your efforts to keep them going. Without your 
generous contributions, we would not be able to honor the memory of our 
Confederate ancestors. Thank you for all you do!

Listed below are the instructions printed on the reverse of every 
billing statement that was mailed out to Virginia Division SCV members. 
Hopefully it will answer any remaining questions you may have on the 
Virginia Division Membership Renewal System. The first section is for 
individual members and the second section is for the camp adjutants who 
have been collecting the original billing statements and Division dues.

*Directions for 2009 Renewal Bill Submissions*

*CAMP MEMBERS:*
The "SUBTOTAL/Minimum Amount to be Paid" should include the total of 
your camp, division, and national dues. If there is no amount listed for 
your camp dues, check with your camp adjutant to determine the amount to 
fill in this area. Virginia Division dues are $10.00 unless you 
previously paid Virginia Division Life Membership dues or are paying for 
a Virginia Division Life Membership.

Check off any additional contributions that you wish to make and write 
the total of all dues in the "TOTAL ENCLOSED" area of the form. This 
year there is an additional contribution field to allow you to 
contribute to your camp as well as any of the division endorsed funds.

This year the entire bill must be returned, along with your check for 
the total amount due, to your camp adjutant. Fold your bill and insert 
into the window envelope provided, ensuring that your adjutant's mailing 
address appears through the window.

All dues must be postmarked by October 31, 2009 to avoid a $5.00 
reinstatement fee. Please review your contact information and make any 
corrections in the lower portion of the bill marked "changes to my 
personal data".

This year there will be no 2009 replacement renewal bills issued. If a 
bill is misplaced or lost, print out a Virginia Division Reinstatement 
Form from the Virginia Division Web site located at www.scvva.org (go to 
the "Join the SCV" page). Fill out the current member's name, address, 
camp and membership number and submit it to your camp adjutant who will 
forward it to Division Adjutant Mike Rose. Be sure to include division 
dues and $5.00 reinstatement fee. If you do not have access to a 
computer, contact Division Commander John Sawyer for a reinstatement form.

*CAMP ADJUTANTS:*
Verify that each Camp member's contact information is correct as well as 
the total for his bill. When you have received 4 or more dues statements 
& their corresponding checks, total the checks and deposit them into 
your camp account. Subtract the amount of your camp dues, any additional 
contributions to your camp, and national dues from each statement and 
write a check to "Virginia Division SCV" for the remaining amount 
(division dues for each member and any division contributions). You will 
be responsible for collecting and submitting all national dues directly 
to national. Mail the camp check and the entire original member's 
billing statement to the Virginia Division Adjutant at the address below:

The Division Adjutant will update the camp rosters and forward the 
information for each paying member to the Division Treasurer.

*New Members, Reinstatements, or Transfers - *Adj. Mike Rose will be 
able to assist you with any new members, reinstatements, or transfers 
back into your camp. Please remit copies of applications, 
reinstatements, or transfer forms, along with division dues only (checks 
made payable to Virginia Division SCV), to Division Adjutant Mike Rose 
at the address below. Camp adjutants should send all original forms and
